Work Order progression

After the task has been created you can process it with the phone or using the Work Orders web page.

The whole process includes:

 

  • Taking the task and asigning it "In Progress" state.

  • Completing the task and sending it to "Approval"

  • Approving the task or cancelling it and creating a new one.

Accepting the task


In app:

 

To accept the task and begin work on the assignment, you must tap the "Waiting" category and then choose the task from the list.


After you tap the task, you will see it's details, and work area on the map. When you are ready, tap the "In Progress" button at the bottom of the page to start the assignment. A module will appear. It is necessary to add one or several photos to continue. You can also leave a comment, if necessary. This step is mandatory and all the info will be added to the task's History and attachments section. When the data is added, tap the "Confirm and proceed" button.



In the web version

Initially, after creation, the task will only be visible to the web user and have the "New" status. You can take the assignment to the next stage by either clicking the "Send" option to the right of the entry in the Waiting orders list, by choosing the same option from the dropdown menu, or by clicking within the field of the entry in the list to open the assignment card, and clicking the "SEND" button. You have the option to add photos or comments if necessary before continuing, as well as editing the assignment in the card by clicking the details, bin icon to delete a task or adding a new one likewise the task creation process.



After this is done, the task will be moved to "Waiting". At this stage, it will appear in the mobile application for your workers to see. The process of continuing with the task remains the same as in the previous stage, if you need to move the order to "In progress" of "Approval" status manually through the web interface.


Unlike the smart app version, you can also cancel the assignment at any point before completion by selecting the corresponding option near the aforementioned buttons.



Completing the task


In app: When the task is ready for evaluation, go to the "In Progress" section in your app, choose the task from the list. Next, go to the bottom of the page and tap "For Approval". A page, similar to the previous step will open. Here you also have to add at least one photo, notes are optional. After this is done, the task will be moved to "Approval".


Approving the task


In the web version: Similarly to the previous step, select the task from the "Approval" tab and click the Completed button at the bottom of the entry card or from the dropdown menu (at the left of the entry's info). To check on the information provided by the person, who completed the assignment, open the asignment's card by clicking within the entry field and go to "History" section. An option to move the assignment to Completed is only available to an administrator, not the employee.


After you mark the assignment as completed, it will be moved to Archive. All the data, notes and attachments will be preserved. The Archive tab is accesable from both web and mobile applications.

If at any point you have the need to cancel the order, you can do it before you move it to Archive. If you initiate task's cancel, you have an option to create a new order with same data already filled in. You can edit it if necessary, the process will begin from the new order creation page.
